Meeting Notes: Oct 18, 2005

Christmas Affair/Silent Auction
Date: Friday, November 18th at 6:30 PM
Location: Warfield Community Hall
Tickets & Posters: Brenda will contact Gay&Dave Prokopetz if they would be interesting
in printing the tickets and posters. Gay has responded that yes, Dave will print the tickets. Lana may have to
look into setting up the printing of posters for the event. The tickets will be distributed at Lauener Brothers
Jewelers, Peoples Pharmacy in Rossland, and Brenda will list her work number on the posters/newspaper ad. As well,
Rotarians will be responsible for buying and selling tickets.
Advertising: Brenda has asked that Lana take over the details of the newspaper ad which is set to run for a
few more weeks. Lana thinks that she could improve the copy for this week by changing the contents and layout.
Bartending&Wine: Lana has suggested that we ask Ian McLeod (sp?) to be responsible
for the bartending. He only charged $100 to do this at her daughter's wedding. It has also be decided that we
have a full bar in order to satisfy the drink preferences of everyone in attendance. Brenda and Leigh will select
a variety of wines to be served during the evening. It is not known whether Interact students could help with
pouring wine from a legal standpoint. It has been suggested that the Interact students be recruited for decorating,
coat check and clean-up.
Entertainment: Leigh has asked and confirmed Colleen Renison (originally from Rossland) to provide entertainment
for part of the evening. She is a singer who resides on the coast at present. Forrest was also going to let us
know if a Trail Winter Games Idol finalist(s) may be able to entertain at the event as well. No auctioneer/MC
has been booked for the event. Someone suggested that we contact Ernie Lalonde to see if he would be interested
in cohosting with Lana.
Wine Glasses: We will likely sell engraved Rotary wine glasses for $12 per glass. The cost will include an
unlimited amount of wine for the duration of the evening event. Apparently Gay is checking into the cost of this.
We will likely just include the words "Trail Rotary Club" on the glasses since the glasses could be
used at other Trail Rotary events. 150 glasses will likely suffice.
Decorating: Once again, Brenda will contact
Gay about the opportunity to serve as the decorating coordinator. She will also ask Gay if she would be interested
in decorating a Christmas tree that will be auctioned at the event, and this has been confirmed. Yes, Gay will
donate a beautifully decorated Christmas tree for auction. It may be possible to decorate Thursday evening, but
this has not been confirmed. It also has been noted that the Warfield Hall will be decorated for Christmas events,
so only a minimal amount of decorating may be needed.
Silent&Live Auction Items: There is a letter available on Rotary letterhead for approaching
businesses about donating auction items. We would like to have several big ticket items, and then quite a few
smaller items in the $30-$100 value range. We do not want too many big ticket items, since it decreases the novelty
of the expensive items, and makes them less affordable to all the people in attendance.
