Meeting Notes: Oct 3, 2005
A Christmas Affair / Silent Auction

Present: Brenda, Sherry, Shelley, Forrest, Bob, Leigh, Fran

Overview:
Date of event: Friday Nov. 18th

Location: Warfield Community Hall

Caterer: Rose from Idgies Resturant
We were very pleased with her sample menu and her pricing of $12.00 per person plus GST. Idgies will donate $.75 back per person in support of the fund raiser.

Advertising:
We discussed the strategy for advertising in Trail Times ie each ad is to feature one or two of our auction items and or a sample of 'hor d'ouvres'. LOOK for our ad this Thurs nite in the Trail Times!

Entertainment:
Leigh - still in planning process, we welcome more suggestions here?
Forrest will check with Trail Idol candidates

MC:
Shared role between Lana and Don Sperry (yet to be confirmed)

Silent / Live Auction Items:
Forrest will prepare a letter that each of us committee members can provide retailers of businesses that we are approaching for items. This letter shud be available by email later this week. We reviewed plan of W&M's committee members securing 3-5 items each. We brainstormed many more ideas and each of us went with a plan of who to approach etc. Below is a summary of many of the items.

Miscellaneous:
Brenda will announce the dates etc at Rotary lunch on Wednesday and the plan for securing items from the membership ie one item of min $30 value or a cheque
Brenda will also see Keith about using our bulletin to show sample menu and some auction items in the bulletin.
