Job Title Christmas Lunch with Santa
Description
Rotary Club of Trail Annual Christmas Lunch -"To Do List."
1. Task 1
1. Find someone to be Santa - in the past it has been Scott Daniels and he has his own Santa Suit
2. Book the piano player - usually Marlene Rusnell
- remind the Riverbelle staff the week before the lunch to set up the organ
- the piano player, as a volunteer, is provided with a free lunch
3. Arrange for someone to lead the Christmas Carols - usually Bruce Fawcett .
4. Ensure the song sheets are in the cupboard - if not, check with Bruce Fawcett to see if he has them
5. Ensure the Riverbelle will serve pasta and meatballs for the lunch - do this a month in advance
6. Two weeks before the lunch, announce the Christmas lunch and pass around a sign up sheet for members to indicate how many children they intend to bring to the lunch, and their respective ages
7. One week before the luncheon, pass around the sign up sheet again for the number and ages of children to attend.
- ask for a show of hands as to how many members and adult guests are expected to attend
- from the show of hands and sign up sheet you can estimate the total number of adults and children, and tell the Riverbelle staff the number that day.
8. Buy and wrap the gifts - it's best to select gender neutral and age appropriate gifts within age ranges, say ages 0-3, 4-7, 8-12 and teens - make sure you include the club's exchange student if there is one . Spend up to $5.00 per gift. Deliver the gifts to the Riverbelle by at least 11:30 am on the day of the lunch, before the children start to arrive - then be "Santa's helper" and hand the age appropriate gift to Santa as he receives each child. - have an "elf" or helper hand out candy canes to all the children if you wish.
** Before you purchase gifts, check in the basement storage room for any left over gifts from the previous year.
9. Determine the itinerary with Santa and the leader of the carols (ie sing three or four carols immediately after the meal, and agree on a key song for Santa's entrance such as "Here Comes Santa Claus", and a final song at the end.)
10. Go over this list with the club president to see if anything should be changed or added for the year at hand.
11. Put any left over gifts in the basement storage room.
